Use of Meeting Room Requirements
- Your meeting or program must be open to the public.
- All groups requesting to use Library meeting rooms must complete and sign the "Application for Use of Meeting Rooms" form. The person signing the application assumes full responsibility and assures that no damage or loss will occur to the meeting space, furnishings or equipment.
Any group reserving a meeting room must have an adult (18-yrs. or older), parent or legal guardian in the room at all times that the room is occupied.
- Use of the rooms will be assigned on a first come, first served basis.

Use of the room for events
of community-wide interest may be held on a recurring basis. The Main
Library Meeting Rooms are only scheduled three months in advance. No
organization or person can have more than three bookings during a 3-month
interval. - If a scheduled meeting/program is canceled, the Library should be immediately contacted, so that the room(s) can be made available to other groups. If a room is reserved and the group who reserved the room is over one hour late in arriving, then the room can be given to another group if one is waiting.
- Minimum capacity for reserving rooms:
- The Donald Henderson Room - 3 or more persons.
- Program Room A or B - 10 or more persons
- Program Rooms A & B each have available an overhead projector, motorized
projector screen, two microphones, DVD player and VGA cable for use with
laptops. The key for this equipment can be picked up at the Tech Media
desk. We ask that patrons provide a library card or photo ID. Assistance
with our equipment is available.
- For use in the Henderson Room there is available a flat screen
television with DVD/VHS player and a 35mm Slide Projector with portable
screen. Request equipment at the Tech Media desk. Staff is happy to
assist.
- All groups holding meetings are responsible for setting up furniture and
equipment as needed, and for cleaning up the premises after the meeting is
concluded. Failure to clean up premises may result in denial of group's future
use of Library meeting rooms.
- Programs/meetings must be held during regular library hours with adjournment being 15 minutes prior to the Library's scheduled closing time.
Library Hours
The
Meeting Room policy and procedures will be interpreted and enforced by the Library Director.
Program organizers may provide light snacks
at no charge.
Any representations regarding sponsorship by Leon County are prohibited unless prior approval has been granted by the Library Director.
